The Minitab Data Window
Uncovering Its Potential
The Data window—the grid of rows and columns where data are entered—is an important part of Minitab with a host of features designed to make working in Minitab easy. But even though it's an integral part of very Minitab analysis, many users don't give it much thought until they run into problems entering, importing, or manipulating data. Knowing a little about what the Data window can do and how it works can save you time—and maybe a little frustration—the next time you use Minitab. Here are a few tips for working effectively in this critical part of the Minitab environment.
Entering Data
The Data window offers a number of features that can make the somewhat tedious process of data entry a snap. Here's a sampling.
Data Entry ArrowWhen working in the Data window, the active cell advances in the same direction this arrow is pointing. Clicking this arrow changes its direction, allowing you to enter data in the way that's convenient to you—down columns or across rows. |  |
Recode Values from the Data WindowIf you've ever used the find-and-replace feature on a word processor, you know what a time saver it can be—it's quicker and much more accurate than working by hand. Right-click the Data window to access a similar tool for finding and replacing data values. |  |
Create Simple Patterns with AutofillMinitab's Data window can take the tedium out of creating repetitive or patterned values. Just highlight the pattern, then click and drag to extend it as far as you like. |   |
You can access these and many other features without leaving the Data window. Just right-click the Data window to reformat columns, change value order, insert and move columns, and more.
Importing Data
In many cases the person who collects data is not the one who will analyze it in Minitab. Because of this, data is often collected with the tool at hand, be it a spreadsheet or text file. Fortunately, importing data from a non-Minitab file is often as simple as opening a standard Minitab worksheet. Here's an example:

- Choose File > Open Worksheet.
- From Files of type, choose Excel.
- Navigate to the file you want to open.
- Click Preview to ensure that the spreadsheet will be brought into Minitab the way you want.
- Click Options if you need to make any adjustments in the way the spreadsheet is imported.
- Click OK in each dialog box.

As you can see in the above example, importing even the most complex of files into the Data window doesn't have to be intimidating. In fact, you can use the exact same steps to import files in a wide array of formats.
Manipulating Data
Once your data are in Minitab, you may want to change the way they're organized. Compared to other statistical software packages, Minitab is very accommodating in the way your data can be formatted, so this reorganization is often a matter of personal preference. It's often true that the layout that was easiest to use when collecting data isn't the easiest to work with later on. Here's an example:
Stacking DataSuppose you've collected data on three items from your product line. You use an unstacked format (shown on the right) for the sake of convenience. However, as you begin to explore the data you find that a stacked format will be simpler to use. |  |
- Choose Data > Stack > Columns.
- In Stack the following columns, enter the columns to be stacked.
- Click OK.

Whether you want to stack, unstack, merge, or subset your data, Minitab offers several straightforward tools to restructure your Data window quickly and easily.
Putting the Data Window to Use
Preparing your Data window shouldn't be the most challenging part of a statistical analysis, and with the tools available in Minitab, it doesn't have to be.
